Getting started

What is BuildMint Queue?

BuildMint Queue is virtual queue management software for service businesses. Staff add customers to a queue, and each customer can follow their own position from a QR code or public tracking link instead of remaining in the waiting area.

Who is BuildMint Queue for?

It is designed for small and medium service organizations such as clinics, dental and veterinary clinics, salons, barbershops, car washes, auto repair shops, government offices, and service centers. Labels can be adapted to the organization's terminology.

Do I need special hardware or an app?

No special queue hardware or customer app is required. Staff use BuildMint Queue in a supported web browser, customers open a web tracking page, and an optional second browser display can show the ticket screen. A device and internet connection are still required.

Can customers add themselves to a queue?

With Queue Plus Remote Join enabled and today’s queue open, customers can add themselves before arrival. In the standard Free on-site flow, staff create the ticket and the customer scans its QR to track their turn. Not every queue accepts Remote Join.

What logo files are supported?

An optional organization logo can be PNG, JPEG, or WebP and must be no larger than exactly 2 MiB. SVG is not accepted.

Daily queue operation

What counts as a visit?

One successfully created queue entry counts as one visit. Page views, tracking refreshes, status changes, staff logins, failed submissions, and cancelled forms do not.

How does customer queue tracking work?

After staff add a customer, BuildMint Queue creates a ticket with a QR code, short code, and unguessable public tracking link. The customer's page shows only ticket-safe information such as their number, status, position, the current number, and service-provider availability. It does not list other customers.

Does a customer need an account?

No. A customer follows their unguessable public tracking link, scans its QR code, or enters the short code on the tracking page. Staff accounts remain authenticated separately.

Can I run more than one queue?

Yes. An organization can configure multiple queues. Each queue belongs to one location, has one assigned service provider, and has its own daily session, numbering, entries, and settings. A service provider can belong to multiple locations but can have only one active queue assignment for the current day across the organization.

What happens when an entry is skipped?

A skipped entry is preserved. Staff can move it next, move it to the end of the waiting list, or cancel it. Completing and cancelling entries preserves them as historical records rather than deleting them.

What happens at the visit limit?

Only new queue-entry creation is blocked. Active queues, existing entries, public tracking links, queue actions, and reporting available under the current plan continue working.

Plans and billing

How do monthly visit limits work?

Visits are pooled across all locations and reset at the start of each calendar month in the organization's configured timezone. Free includes 500 visits and Queue Plus includes 5,000 total visits per calendar month shared across all locations in the organization.

What is included in the Free plan?

Free includes 500 visits per calendar month, 1 location, 1 organization user, today's Overview, Analytics and customer records, configurable labels, staff-created tickets, on-site ticket QR and live tracking, manual Open Queue / Close Queue, and self-service help.

What does Queue Plus add?

Queue Plus includes 5,000 total visits per calendar month shared across up to 3 locations, up to 5 organization users, Remote Join, historical reports and analytics, custom date ranges, consolidated reporting, CSV export, and authenticated email support.

Are monthly and yearly Queue Plus different plans?

No. Both have the same features and monthly visit allowance. Queue Plus is $9.99/month or $99.99/year. Existing subscribers should use Manage subscription for the options Lemon Squeezy makes available to their subscription.

What happens when I cancel?

Cancellation stops automatic renewal, but Queue Plus continues through the paid-through date verified by Lemon Squeezy. Only after paid access actually ends do Free limits apply. Existing queue data is not deleted.

What happens to extra locations or users after a downgrade?

They are preserved, not deleted. The primary location and the allowed Free-plan user remain operational; excess locations become plan read-only and excess users become plan restricted. Valid preserved access is restored after a verified re-upgrade.

What happens if a payment fails?

Queue Plus remains active while Lemon Squeezy reports a past-due renewal. If the subscription becomes unpaid, Free limits apply without deleting data and billing recovery remains available for 30 days. Verified recovery restores Queue Plus without resetting usage.

Can I request a refund?

Use Billing Help. Annual renewal requests made within seven calendar days may be reviewed when there has been no substantial post-renewal use. Monthly renewals are generally non-refundable after material use, subject to applicable law and documented exceptions. Refunds are not automatic.

Reporting and settings

What reporting is available?

Authorized users can view today's Overview, Analytics and customer records on Free. Queue Plus adds historical reports and analytics, historical customer records, custom date ranges, consolidated reporting and CSV export.

Can I customize words such as customer or service provider?

Yes. Authorized users can choose a template and customize labels for the organization, location, customer, service provider, service point, queue, and ticket. The dashboard and other customer-facing or staff-facing screens use those configured terms where supported.

Can an archived queue or service provider be restored?

Not through the current interface. Archiving preserves historical sessions, entries, tracking, and reporting, but the archived configuration cannot be edited, reactivated, or reused. Review the confirmation carefully before archiving.

Privacy, retention, and support

Can I store medical records in BuildMint Queue?

No. BuildMint Queue is a queue-management tool, not a medical-record system. Do not enter diagnoses, clinical notes, payment-card details, passwords, or other unnecessary sensitive information in queue or support fields.

What happens to an inactive never-paid Free organization?

Warnings are scheduled after 45 and 53 full inactive days, deactivation after 60 days, and eligible permanent deletion after 90 days. An owner can reactivate during the 30-day recovery window. Holds and renewed qualifying activity stop the process.

How long is former-customer data preserved?

Former paying-customer data is preserved for at least 12 months after the later of paid access ending and the last qualifying authenticated activity. A warning is scheduled at 11 months, deactivation at 12 months, then a 30-day recovery window before eligible purge.

How do I request access, export, correction, or deletion?

An authenticated organization can use Billing Help for a privacy or data request. Requests require authorization and may be limited by verified legal, security, fraud, tax, billing, or deletion-audit retention requirements.

What support is included?

Free includes self-service guidance. Queue Plus includes authenticated email support for product use, technical issues, reporting, and account configuration. Every authenticated organization can use Billing Help for payment, charge, security, account-access, privacy, export, or deletion matters. No response-time SLA, emergency coverage, or phone support is promised.

Are AI Assistant and SMS available?

No. AI Assistant and SMS notifications are intentionally disabled for the current MVP launch.

Remote Join

Can customers join my queue before they arrive?

Yes. Remote Join is available with Queue Plus. Share your public queue link so customers can join today's open queue, track their turn from their phone, and arrive closer to their turn.

Do Remote Join customers need an app or account?

No customer app or account is required. Customers open the public link in a browser and receive their own secure tracking page after joining. They need an internet connection.

Can staff open and close today's queue?

Yes. On Dashboard, select the location and queue. Authorized staff see Close Queue when it is open and Open Queue when it is closed. This core operational control is available on Free and Queue Plus.

What happens when I close the queue?

Closing stops new staff-created and Remote Join admissions. Existing visitors remain in the queue and can still be served. Their tracking links keep working; closing does not cancel visits or reset numbering.

Can staff still serve customers after the queue is closed?

Yes. Staff can call, complete, skip, return skipped visitors or cancel existing visits as appropriate. Closing controls new admissions, while staff finish the people already waiting.

Does reopening reset queue numbers?

No. Open Queue continues the same day's queue with its existing visitors and numbering. If the last ticket was #3, the next new visitor receives #4.

Can Remote Join accept customers while the queue is closed?

No. Today's queue must be open. Opening it does not bypass disabled Remote Join, plan eligibility, any configured hours or cutoff, remote waiting limits, monthly visit limits or duplicate protection.

Can I limit how many remote visitors are waiting?

Yes. Choose a Remote waiting limit in Remote Join settings, or leave it Unlimited. It counts active remote waiting visitors, not everyone in the queue. There is no configurable overall queue-capacity control.

Does the Remote Join QR code expire?

The printable Remote Join QR uses a permanent destination that survives public-link renames. It has no scheduled expiry, but joining still depends on the queue, location, Queue Plus access and current admission rules.

What happens if I rename my public Remote Join link?

Share the new readable link after a rename; the old readable link is not an alias. The permanent QR downloaded from Remote Join settings keeps its destination, so you do not need to reprint it just because the name changes.

Can Remote Join work with multiple locations?

Yes. Customers choose a location when needed and then the applicable queue or service. A single-location business avoids an unnecessary location-choice step. Queue Plus includes up to 3 locations.

Can customers choose why they are visiting?

Yes. Enable Visit reasons and configure the options for that queue. You can make choosing at least one reason required or optional.

Can customers choose more than one visit reason?

Yes. Customers can select multiple enabled reasons offered by the business.

Can customers add a private note?

Yes, when the business enables the optional private free-text note. It is queue context for authorized staff, not a medical record. Do not enter diagnoses, clinical history or other unnecessary sensitive information.

Can customers edit their visit reasons after joining?

Customers can edit permitted reasons and their private note from their own secure tracking page while Waiting, AlmostNext or Skipped. Calling, Completed and Cancelled visits are read-only.

Can staff see who joined remotely?

Yes. Staff see a Remote source badge. Reporting distinguishes Remote, QR and Staff where recorded, and shows Unknown for legacy or unrecognized sources rather than guessing how someone joined.

What happens if a remote visitor does not arrive?

Staff can use No-show: cancel visit to confirm cancellation. The visit becomes Cancelled and releases its active waiting place. Skipped is a separate, reversible action; it is not a no-show status.

Do staff receive notifications when someone joins remotely?

Relevant staff dashboards update without manual refresh. Staff can also opt in to supported browser notifications for new remote joins. Notification text omits customer names, contacts, visit reasons and private notes. Device and browser support varies.

Does Remote Join count toward my monthly visit limit?

Yes. Each successfully created Remote Join entry uses one visit from the organization's shared monthly allowance. Rejected attempts, tracking refreshes and safe retries of the same successful submission do not create extra visits.

Is customer information visible publicly?

The public join page does not list customers or their private details. Each customer receives a secure tracking link for their own visit. Keep that link private because anyone holding it can access that visitor's tracking information and permitted queue context.

Is Remote Join appointment booking?

No. It joins today's live queue. It does not reserve an appointment time, offer future dates or guarantee a service time. Follow the business's arrival instructions and watch your turn.

Which plan includes Remote Join?

Remote Join is included in Queue Plus and is locked on Free. Ending paid access stops new remote admissions without deleting saved Remote Join settings, the permanent QR or existing visits. Existing tracking and permitted staff actions continue.

Can I still use the on-site ticket QR on Free?

Yes. Free includes staff-created queue tickets, on-site ticket QR codes and live customer turn tracking. Scanning that ticket opens tracking for an existing visit. Customer self-joining through a public link or permanent Remote Join QR requires Queue Plus.

Can I configure daily queue opening hours?

There is currently no daily operating-hours editor in the normal interface. Open or close today's queue from Dashboard. Remote Join settings can display existing configured hours and offer an early cutoff when those hours exist; setting up hours is not a required tutorial step.

What should a customer do if submission fails?

After a confirmed rejection, correct the visible details and submit again, or use Check availability. If the result is uncertain because of a connection problem, use Retry submission with the original details so the system can recover the same visit safely.
