Virtual queue vs appointment booking: what's the difference?
By BuildMint Software · September 9, 2026
A virtual queue holds a customer's place in a live waiting order. An appointment reserves a planned time. Both help people organize a visit, but they solve different operational problems.
Choose a live queue when the next available turn matters
Walk-in demand can be difficult to predict. A service may take five minutes for one customer and much longer for another. A live queue lets staff work through today's visitors while customers follow their changing position.
With BuildMint Queue Remote Join, a customer can enter today's open queue before arriving and track their turn from a phone. They do not select a future date or reserve a service time. Businesses should explain when customers should arrive and what happens if they are absent.
Choose appointment software when a specific time is the promise
A scheduled consultation, a long treatment or a service requiring a reserved resource may need an appointment calendar. Customers expect a date and time, and staff need to manage that commitment. BuildMint Queue does not provide appointment booking or synchronize an appointment calendar.
If your business accepts both bookings and walk-ins, decide how staff will handle those groups before sharing a remote queue link. Do not advertise a place in a live queue as a guaranteed appointment.
Remote joining and QR tracking are different steps
A link or QR code is a way to open a web page; its destination determines what it does. Free BuildMint Queue tickets have a QR that opens tracking for a staff-created visit. Queue Plus adds a public joining page and permanent Remote Join QR that can create a new visit when admission rules allow it.
Customers need no app or account for either experience. Keep individual tracking links private; share the business's joining link when inviting new visitors.
Closing admissions is not cancelling the waiting list
A barber may stop accepting new walk-ins while finishing the people already waiting. On Dashboard, Close Queue blocks new staff and remote admissions but leaves existing visitors and tracking intact. Open Queue later continues the same day's numbering rather than starting over.
A remote waiting limit can keep the active remote list manageable. It is separate from the shared monthly visit allowance and does not set the capacity of the entire queue.
Questions to settle before you share a link
- Is the customer joining today's live queue or booking a specific time?
- When should they arrive, and where should they check in?
- Who will close admissions when the team has enough visitors?
- Should an absent visitor be skipped for a possible return, or cancelled?
- Which customer details are necessary for queue context?
Start with a clear arrival policy and a small set of useful fields. Then follow the Remote Join setup tutorial, compare Free and Queue Plus, or explore examples for walk-in service businesses.
